Before you start
Sign in to the staff portal, select the correct organization, and confirm that you can add borrowers and loans. Have the borrower’s contact information and basic property details ready.
1. Choose or create the borrower
Open Borrowers and search for the person first. Reuse an existing record when appropriate. If there is no record, create one using the requested fields.
If the inquiry already exists in your CRM, convert the lead to create or link the borrower and optionally start a loan in the same flow.
2. Create the loan
- Open Loans and select New Loan.
- Select the borrower and, if applicable, a co-borrower.
- Choose Loan Purpose: Purchase, Rate & Term Refi, Cash-Out Refi, or Hard Money.
- Enter the Loan Amount and Property Address.
- Add optional property type, occupancy, and sales price when known.
- Submit the form and open the new loan.
3. Complete the application
Open Application (1003) in the loan file. Work through the sections, save changes, and review the validation messages. You can complete the application as staff or arrange borrower access through the borrower invitation flow available on the borrower’s record.

4. Collect and review documents
Upload the required files on the loan’s Documents tab. Add requirements on Conditions, then update their status as documents arrive and the requirements are reviewed. Uploading a file alone does not mean a condition is satisfied.
Use the Conditions queue and Document Inbox to review work across files.
5. Keep the team informed
Add useful context in Notes. Use History to follow changes and Emails to review messages matched to this file. Manage staff visibility through Access when your role permits it.
6. Update the pipeline
Change the loan’s workflow status as your team completes each stage. Common stages include Submission, Processing, Underwriting, Conditional Approval, Clear to Close, and Funded. Status changes record your team’s progress; they do not perform underwriting or funding for you.
